How to Set Up Your Business Email in Outlook or Thunderbird

You can read and send your business email from a desktop app like Outlook or Thunderbird instead of logging into webmail every time. All you need is your email address, its password, and a few server settings, which your hosting account already has ready for you.

What You Need Before You Start

  1. Your full email address (e.g. you@yourdomain.com)
  2. The password for that email account
  3. Your incoming mail server (IMAP or POP3) and outgoing mail server (SMTP) hostnames
  4. The correct port numbers for each, with SSL/TLS enabled

Finding Your Mail Server Settings

Your control panel shows the exact server names and ports to use. These are usually mail.yourdomain.com for both incoming and outgoing mail, but always confirm the exact values in your account rather than assuming.

In cPanel

  1. Log in to cPanel and open Email Accounts.
  2. Find the email address you want to configure and click Connect Devices (sometimes shown as Set Up Mail Client).
  3. Scroll to the Manual Settings section. This lists the exact incoming server, outgoing server, ports, and encryption type to enter in your mail app.

In DirectAdmin

  1. Log in to DirectAdmin and open Email Accounts (sometimes labelled E-Mail Manager).
  2. Click on the email account you want to configure, or look for a Setup instructions / Connect Device link next to it.
  3. Note the incoming (IMAP/POP3) and outgoing (SMTP) server names and ports shown there.
If you can't find these details in your control panel, contact ZIPROF support and ask for your account's mail server settings. Don't guess the hostname, using the wrong one is the most common cause of setup failures.

Setting Up in Outlook

  1. Open Outlook and go to File > Add Account.
  2. Enter your full email address and click Connect.
  3. When Outlook asks for the account type, choose IMAP (recommended) or POP3.
  4. If Outlook doesn't detect the settings automatically, choose Advanced options or Manual setup, then enter the incoming and outgoing server names, ports, and enable SSL/TLS encryption for both.
  5. Enter your email password when prompted, then click Connect or Finish.

Setting Up in Thunderbird

  1. Open Thunderbird and go to Menu > Account Settings > Account Actions > Add Mail Account.
  2. Enter your name, email address, and password, then click Continue.
  3. Thunderbird will try to detect the settings automatically. If it doesn't find the right ones, click Manual config and enter the incoming (IMAP or POP3) and outgoing (SMTP) server names, ports, and set the connection security to SSL/TLS.
  4. Click Re-test, then Done once Thunderbird confirms the settings work.

Choosing IMAP or POP3

IMAP keeps your messages synced on the mail server, so they show up the same way across your phone, webmail, and desktop app. POP3 downloads messages to one device and can remove them from the server. For most business accounts checked from more than one device, IMAP is the better choice. Common Setup Problems

  1. Authentication failed: double-check the password, and make sure you're using the full email address as the username, not just the part before the @ sign.
  2. Connection times out: confirm the server hostname is correct and that you've enabled SSL/TLS on the matching port.
  3. Certificate warning: this can appear if the mail server's SSL certificate doesn't exactly match the hostname you entered. Try using mail.yourdomain.com instead of just yourdomain.com, or contact support to confirm the correct name.
Changes to email settings take effect immediately, there's no propagation delay like with DNS changes. If a setting still doesn't work after a few minutes, recheck it for typos rather than waiting.
