Why You're Getting Duplicate Emails on Your Phone and How to Fix It

If the same email keeps showing up twice (or more) on your phone, the cause is almost always one of three things: the account is set up more than once on the device, it's using POP3 and re-downloading messages it already has, or a mail filter on the server is copying messages back into the inbox. None of these mean your email account has been hacked or is broken, and all three are fixable from your phone or your webmail settings.

What Causes Duplicate Emails on a Phone

  • The same mailbox was added twice, for example once in your phone's built-in mail app and again in a separate app like Gmail or Outlook.
  • The account uses POP3 instead of IMAP, and a setting change or app reinstall caused it to re-download messages that were already on the phone.
  • A mail filter or forwarding rule on your mailbox is set to forward a message and also keep a copy, so you receive both.
  • You have the account set up on several devices, and each one that uses POP3 with "leave a copy on the server" turned off ends up grabbing messages in a slightly different order, which can look like duplicates while mail is still syncing.

How to Stop Duplicate Emails

1. Check Whether the Account Is Set Up More Than Once

Open your phone's Settings (or the mail app's account list) and look for the same email address listed under more than one app or more than one account entry. If you find it twice, remove one of the entries rather than both, so you don't lose access to your mail while you sort out the rest.

2. Switch From POP3 to IMAP

POP3 downloads a separate copy of your mail to each device and is more prone to re-downloading messages than IMAP, which keeps everything in sync with the server instead. If you're not sure which one your account is using, check your account settings in the mail app.

If you must keep using POP3 for a particular device, make sure Leave a copy of messages on the server is turned on. With it off, a reinstalled app or a new device can re-download your entire mailbox from scratch, duplicating everything you already have elsewhere.

3. Remove and Re-Add the Account

  1. Delete the email account from the mail app on your phone.
  2. Restart the phone (this clears any mail that's still cached in memory).
  3. Add the account again, choosing IMAP as the account type when prompted.

Check for a Duplicate-Copy Mail Filter

If duplicates are only happening with messages from one specific sender or mailing list, the cause is more likely a mail filter on your mailbox than anything on your phone. Log in to your control panel and check for a rule that forwards a message while also keeping the original.

In cPanel

  1. Log in to cPanel and open Email Filters under the Email section.
  2. Select the email account and review any existing filters.
  3. Look for a rule using the Forward message to email address action combined with Deliver to a specific folder or no stop action, since this delivers the message twice. Either remove the duplicate action or add a Stop processing rules action after it.

In DirectAdmin

  1. Log in to DirectAdmin and open the email account under E-Mail Accounts, then go to Filters.
  2. Review the existing filters for the account.
  3. Look for a rule that both forwards and delivers the same message, and remove the extra action so only one copy is kept.

If you've checked all of this and duplicates are still showing up, it's worth also confirming your email isn't failing to sync properly in other ways, since a related syncing issue can sometimes look like duplicates.
