A mailing list gives you one email address, such as team@yourdomain.co.ke, that automatically sends a copy of any message to everyone on a subscriber list. It's different from email forwarding, which only sends copies to a fixed set of addresses you configure yourself. A mailing list lets people join or leave the list, and it works well for internal team announcements, committee discussions, or a simple update list for customers who've opted in.
Both cPanel and DirectAdmin use the same underlying software (Mailman) to run mailing lists, so once a list is created, managing it looks the same regardless of which panel you use.
Creating a Mailing List
In cPanel
- Log in to cPanel.
- Under the Email section, click Mailing Lists.
- Enter a List Name (this becomes the part before the @ symbol, e.g. "team").
- If your account has more than one domain, choose the correct Domain from the dropdown.
- Set and confirm a Password for the list. This password is used to manage the list's settings and subscribers, not to send mail to it.
- Click Create.
In DirectAdmin
- Log in to DirectAdmin.
- Go to the E-Mail Manager section and click Mailing Lists.
- Enter the list name and select the domain, if you manage more than one.
- Set a password for the list.
- Click Create.
Choose a list name people will remember and that clearly says what it's for, such as "announcements" or "support-team". You can't easily rename a list later without recreating it.
Adding and Removing Subscribers
Once a list exists, both panels give you a link to its Mailman administration page. Open it and log in with the list password you set when creating the list.
- From the admin page, open Membership Management.
- To add people, paste their email addresses (one per line) into the subscription box and confirm.
- To remove someone, select their address in the member list and choose the unsubscribe or remove option.
- Save your changes.
The same admin page also lets you decide whether new subscribers need approval, whether anyone can post to the list or only members, and whether posts need moderator approval before going out.
Sending a Message to the List
To send a message to everyone on the list, just email the list address itself, for example team@yourdomain.co.ke. Depending on how the list is configured, the message either goes straight out to all subscribers or waits for a moderator to approve it first.
A mailing list is meant for genuine group discussion or opt-in updates among people who've agreed to receive them, not for bulk marketing campaigns. Sending large volumes of unsolicited mail through a mailing list can trigger your account's hourly sending limit or get the messages flagged as spam. If you're planning regular newsletters to a large audience, a dedicated email marketing service is usually a better fit than a hosting account mailing list.
