How to Set Up Your Email in Mozilla Thunderbird

Mozilla Thunderbird is a free desktop email client that works well with any standard business email account, including the one that comes with your ZIPROF hosting or email hosting plan. Setting it up takes a few minutes once you have your account details on hand, and the steps are the same whether your account is hosted on cPanel or DirectAdmin, since Thunderbird only needs your email address, password, and mail server settings, not access to the control panel itself.

What You'll Need Before You Start

Have the following ready:

  • Your full email address (e.g. you@yourdomain.co.ke)
  • Your email account password
  • Your domain's mail server hostname (usually mail.yourdomain.com, using your own domain)
If you're not sure of your exact mail server hostname, check the email account settings in your hosting control panel, or ask your host's support team. It's usually the same for every mailbox on your domain.

Adding Your Account in Thunderbird

  1. Open Thunderbird. If this is your first account, you'll see the Set Up an Existing Email Account screen. If you already use Thunderbird, go to the menu and click Account Settings, then Account Actions and Add Mail Account.
  2. Enter your name (as you want it to appear to recipients), your full email address, and your password, then click Continue.
  3. Thunderbird will try to look up the correct server settings automatically. If it finds working IMAP or POP3 settings, review them and click Done.
  4. If automatic lookup fails or shows incorrect settings, click Manual Config and enter the settings in the next section instead.

Manual Server Settings (If Auto-Setup Fails)

Use these settings, replacing yourdomain.com with your own domain:

  • Incoming server (IMAP): mail.yourdomain.com, port 993, SSL/TLS connection security, normal password authentication
  • Incoming server (POP3): mail.yourdomain.com, port 995, SSL/TLS connection security (only use this instead of IMAP if you specifically need POP3)
  • Outgoing server (SMTP): mail.yourdomain.com, port 465, SSL/TLS connection security
  • Username: your full email address, not just the part before the @
Choose IMAP over POP3 whenever possible. IMAP keeps your messages synced on the mail server, so the same mailbox looks the same on your phone, webmail, and Thunderbird. POP3 typically downloads messages to one device and can leave other devices out of sync.

Enter these values in the fields Thunderbird's manual setup screen provides, then click Re-test. If the connection succeeds, click Done to finish adding the account.

If Thunderbird Still Won't Connect

  1. Double-check your password; a single typo is the most common cause of a failed connection.
  2. Confirm you're using your full email address as the username, not just the first part.
  3. Make sure the ports and encryption settings match exactly what's listed above. Some networks or antivirus software block non-standard ports.
  4. Try switching between port 465 and port 587 for outgoing mail if 465 doesn't connect; both are commonly supported, though 465 with SSL/TLS is the more reliable default.

Once it's connected, Thunderbird will keep checking for new mail automatically, just like your webmail or mobile mail app.
