If you already use Gmail every day, you can read and send your business email from the same Gmail inbox instead of logging into webmail separately. Gmail has two built-in features that work together for this: Mail Fetcher, which pulls in mail from your business account, and Send As, which lets you reply using your business address instead of your personal one.
This setup does not move your business email anywhere. Your account still lives on your hosting, and you can still use webmail or any other email client at the same time. Gmail simply checks your business inbox periodically and copies new messages into your Gmail account.
Gmail's free Mail Fetcher checks for new mail roughly every few minutes to a few hours, not instantly. If you need messages to arrive the moment they're sent, set up your business email directly in a desktop or mobile mail app using IMAP instead.
What you'll need
- Your business email address and its password
- Your domain's incoming mail server, usually mail.yourdomain.com (replace with your actual domain)
- Access to the personal Gmail account you want to use
Step 1: Add your business account to Mail Fetcher
- Log in to the Gmail account you want to use, then click the gear icon and select See all settings.
- Open the Accounts and Import tab.
- Under "Check mail from other accounts," click Add a mail account.
- Enter your full business email address and click Next.
- Choose Import emails from my other account (POP3) and click Next.
- Enter your business email password. For the POP server, enter your mail server (e.g. mail.yourdomain.com) and set the port to 995.
- Tick Always use a secure connection (SSL) when retrieving mail.
- Decide whether to tick Leave a copy of retrieved message on the server. Leave this ticked if you still check webmail directly, otherwise Gmail will remove messages from your business inbox after fetching them.
- Click Add Account.
Step 2: Set up Send As so replies go out from your business address
When the import wizard finishes, it asks if you also want to send mail as this address. Say yes, or set it up separately:
- On the same Accounts and Import tab, find "Send mail as" and click Add another email address.
- Enter your name and business email address, then click Next Step.
- Choose Send through your SMTP server. This sends through your actual business mailbox rather than Gmail's own servers, so recipients see a consistent sender.
- Enter your outgoing mail server, usually mail.yourdomain.com, with port 465 and your business email's full address and password as the login.
- Select Secured connection using SSL and click Add Account.
- Gmail sends a verification message to your business inbox, which Mail Fetcher will pull into Gmail within a few minutes, or you can check webmail directly. Open it and click the confirmation link, or copy the confirmation code into the Gmail dialog box.
Once verified, you can set your business address as the default "From" address under "Send mail as," so every new message you compose goes out from it automatically rather than needing to pick it each time.
Replying from the correct address
After setup, Gmail automatically replies using whichever address a message was sent to, so replies to business mail go out as your business address without extra steps. When composing a new message, use the From dropdown near the top of the compose window to pick your business address.
Troubleshooting
- If Mail Fetcher fails to connect, double-check the server name, that the port is 995, and that SSL is ticked. A wrong password is the most common cause of a failed add.
- If the Send As verification email never arrives in Gmail, check your business webmail directly instead, since Mail Fetcher's delay may be holding it up.
- If messages stop appearing after a while, your business mailbox may be full. Check your account's storage quota and clear old mail if needed.
If you'd rather have your business email arrive in real time instead of on Gmail's fetch schedule, see our guide on setting up your email in Outlook and other desktop mail clients, which uses IMAP for instant delivery.
